Qualaris helps you collect audits and generate real-time compliance reports. It replaces manual tools and clunky software so you can save time and get the data you need to drive improvements.

You can use Qualaris for a single application like hand hygiene -

  • making it easy to collect data on any device,

  • managing data collection with helpful features like assignments, and

  • providing real-time reports to all stakeholders.

Or, you can use Qualaris for many applications across multiple departments -

  • managing many ongoing safety and quality concerns,

  • ensuring regulatory compliance,

  • operationalizing leader rounding, and

  • quickly setting up new projects as needed.

Here’s what you need to know to get your trial started:

  • Qualaris is accessed at https://app.qualaris.com

  • You can use computer browsers, tablets, or smartphones connected to the internet

  • Admin users can create forms and reports and manage access

  • Normal users can collect data and view reports

We’ve pulled together a full guide for trialing Qualaris. It walks you through all the steps of setting up your first project.

Create an audit form

Admin users can create forms and edit them. To create a new form, head to the Audit page and click “+ New Audit Form”. You’ll have the option to create a new form from scratch or start from any of our customizable forms.

Use the form launcher to set up an initial version of your form. Don’t stress about getting everything perfect on the first pass. You can continue to edit forms after launching them.

Here’s how audit forms work:

  • The checklist section is where you put questions you want included in compliance calculations. Checklist fields have a compliant and non-compliant answer that are set up as “yes” and “no” by default. You can have one or many checklist fields. If you want to keep things simple, make sure questions are oriented so “Yes” is the desired answer.

  • Above and below the checklist section, you can add fields to help segment and organize your compliance data and gather additional information. Choice fields are the main structured field used to segment and organize data. Track anything from shift to risk level with a choice field and then easily group compliance results based on the answer. A variety of additional fields are available to capture comments, room numbers, and more.

  • Unit is the default field used for organizing audit locations on forms. It’s a special type of Choice Field called a Preconfigured Field which means that it can be used by multiple forms to avoid recreating and duplicating location lists. You can always add more locations after you launch. If you have a large list of locations, reach out to our support team and we can help you get it quickly imported.

  • Observed Date is a required field for all forms.

  • Conditional logic is available if you want to set up rules to hide or show fields or hide or show items within fields.

Collect some data

Here’s how data collection works

Any user can collect audits on any internet-connected device smartphone, tablet, or computer browser. Head to our help center for instructions on setting up Apple and Android mobile devices.

Use Collection Goals to set up auditor assignments that make it easy for auditors to see their progress on collection assignments and make it easy for project leaders to track everyone’s progress and send out reminder emails

Enable Keep to streamline batch entry by allowing auditors to save their selections on fields between submissions (instead of having all field selections clear upon submission)

Share this submission by email makes it easy for auditors to share their findings and take issues out of Qualaris for follow up

Correct issues and delete submissions using My Recent Submissions on the Audit page (all users can adjust their own submissions for 24 hours) or Raw Data in Manage (admins can adjust all submissions for all time).

Review your results

Analyze Dashboards provide real-time summaries of your project data. Simply choose the time period of interest to review your results. Download the entire dashboard as a PDF or spreadsheet-friendly CSV file or download a single chart as an image.

Use Subscriptions to automatically email your results on a recurring basis. Recipients must be users of Qualaris.

Admins can edit Dashboards to add and remove charts, change layouts, add instructions, set default time ranges and more. Reach out to our support team for hands-on help with reporting customization.

Onboard colleagues

Head to Manage to invite colleagues into Qualaris. The typical approach is to invite users by email. You can invite users for yourselves or reach out to support if you’d like help with importing large lists. “User has no email address?” allows admins to set up logins and passwords for others to use. Single sign-on integrations are available, and you can reach out to support to learn more. User roles can be set as normal (collect data and view results) or admin (edit/create forms and dashboards, manage access, etc.).

Use Collection Goals to keep invited staff on track with data collection. Set up data collection assignments and send out reminder emails.

Use our “By Unit” dashboards to get results to unit supervisors. If you set up a form with a unit field, you’ll automatically get a dashboard set up that allows you to select any unit of interest and drill down to its results in a dashboard. Set up dashboard subscriptions for each unit’s dashboard to ensure teams are getting their own data on a regular basis.

Work with your IT group to add shortcuts to Qualaris. Many customers find it helpful to add shortcuts to https://app.qualaris.com/. This could be shortcuts on workstation desktops. This could be a link in your organization's intranet. This could also be home screen shortcuts on work-provided mobile devices.

For large organizations, test your rollout process with a smaller group to start. This is a great way to make sure your messaging and training is clear and that the tools you set up work as expected for auditors.
